IU's Automated External Defibrillators policy establishes the procedures for governing the maintenance, operation, and training for AEDs on university property.
This policy applies to all university property and to all members of the university community, guests, and visitors.
Tent and canopy inspections are required and should be completed at least 10 days before an event.
Request tent or canopy approval
All tents and canopies on IU property must adhere International Fire Code, Version 2014, Chapter 31. All tents obtained by any IU unit must be obtained through the Office of Procurement Services.
Lithium-ion batteries in laptops and cordless tools can pose a serious fire risk if they overheat or become damaged. Because these batteries can enter "thermal runaway"—where they catch fire, explode, or release toxic fumes from burning plastics—it is critical to handle them with extreme caution. These procedures provide life-safety steps to manage smoldering devices and ensure proper evacuation during a battery fire.
Emergency Response (Active Fire or Smoke)
- Call 911 immediately and treat a burning laptop as a real fire emergency.
- Evacuate all people and pets from the area to avoid fire and toxic fumes.
Only if it is safe to do so:
- Unplug the laptop from the wall outlet to stop additional power delivery.
- Remove the laptop from easily ignited surfaces like couches or beds if it begins to smolder.
- Clear away nearby papers, pillows, and other combustible materials to prevent the fire from spreading.
- Move the device outside if the fire is in its early stages to allow fumes to vent safely.
- Use an ABC dry chemical fire extinguisher or water to douse the device.
- Maintain a distance of at least 10 feet when using an extinguisher to avoid potential burning shrapnel.
- Monitor the device for at least 24 hours after the fire is out, as damaged cells can flare back up or re-ignite.
Battery Health and Maintenance
- Stop using the device immediately if the battery appears swollen.
- Power down and isolate any device with a faulty battery in a fireproof container.
- Consult a professional repair technician for battery removal if you have any doubts about doing it safely.
- Store old batteries outside if you are collecting them for recycling.
- Use caution with aftermarket or cordless tool batteries, as they have been known to burn or explode.
Common items permitted in building corridors
- Chairs, if made of approved materials and approved by design or by Fire Safety and Loss Prevention.
- Construction materials, if approved for by Fire Safety and Loss Prevention.
- Copiers, if approved by design or by Fire Safety and Loss Prevention.
- Tables, if made of approved materials and approved by design or by Fire Safety and Loss Prevention.
- Trash, if made of approved materials and approved by design or by Fire Safety and Loss Prevention.
- Vending machines, if approved by design or by Fire Safety and Loss Prevention.

The IU Policy regarding egress procedures applies to all university-owned buildings and areas occupied by the university in non-owned buildings. Egress procedures are included in the "Use of Corridors and Equipment Rooms for Storage" policy.
Amusement and Entertainment permits and inspections are required according to Indiana state statutes IC-22-12-1-23 and IC-22-14-3-1. Indiana law also distinguishes between amusement and entertainment where rental fees are charged or collected in IC-22-12-6-7.
An entertainment permit is required for any building where an event is held that is open to the public and there is amusement or entertainment (concerts, musicals, plays), or wedding receptions open to the public, and to which an entry fee is charged excluding non–professional sporting events but not professional sporting events or use of a building or part of a building for public assembly that was not designed for public assembly.
Events that do not require an Amusement and Entertainment permit include:
- Wedding receptions by invitation only (even with live music)
- An event open only to invited guests with no live music/entertainment
- An event/dinner with background music
- Lectures
- Poetry readings
- University ceremonies not open to the public

Permits for non-IU events held on IU property (including fraternity and sororities), can be obtained from the Indiana Department of Homeland Security by applying online. Notify Scott Gillispie, director for Fire Safety and Loss Prevention, at 812-276-3510, gillesps@iu.edu if you have applied for a permit for a non-IU event held on IU property.
Upon obtaining an annual permit, it applies to any IU event held in that location for one year.
A fee is charged based on the number of occupants.

Extension cords and power strips are designed for temporary use with small appliances. Improper use—such as overloading a circuit, "daisy-chaining" strips together, or using them for high-wattage items like space heaters—can cause wires to overheat and start electrical fires. This guidance ensure our electrical systems remain stable and safe for everyone.
Choose the right equipment
- Circuit Breakers Only: Ensure all power strips (relocatable power taps) are equipped with internal overcurrent protection (a built-in circuit breaker).
- UL Listed: Verify that all cords and power strips have a UL (Underwriters Laboratories) safety label.
- Grounded Plugs: Use grounded (3-prong) extension cords for any appliance that requires a ground.
- No "Cube" Adapters: Multi-plug "cube" adapters and unfused plug strips are prohibited.
Proper setup and usage
- Wall Connection: All power strips and extension cords must be plugged directly into a wall outlet.
- No Daisy-Chaining: Confirm that power strips are NOT plugged into other power strips or extension cords.
- High-Wattage Appliances: Ensure space heaters, microwaves, and refrigerators are plugged directly into a wall outlet, not a power strip or extension cord.
- Temporary Use: Standard extension cords should only be used for portable, temporary appliances—not as a permanent wiring solution.
Safe Placement and Maintenance
- Visible and clear: Cords must not run through walls, ceilings, floors, or under doors.
- No Rugs: Ensure no cords are hidden under rugs or floor coverings where heat can build up or trip hazards are created.
- Damage Inspection: Check all cords for frays, splices, or brittle insulation. Damaged cords must be discarded immediately.
- No Physical Impact: Position cords so they are not pinched by furniture or subject to foot traffic.
Improper use of electrical cords is a leading cause of office fires. For long-term power needs, please contact Facility Operations to discuss installing additional permanent outlets.

Use this checklist to identify common fire, life safety, and health hazards before they become emergencies. Completing it several times each year supports safer living and helps meet campus and fire safety expectations.
Use this as a YES/NO self‑inspection list. If you check "No," fix it promptly or report it to the appropriate office.
Fire Protection Systems
- The building has a complete, hard‑wired smoke detection system that activates the building fire alarm.
- The building has a complete fire sprinkler system (if required for the occupancy).
- The fire alarm and smoke detection system are tested monthly, and results are recorded.
- The fire sprinkler system is maintained, turned on, and tested annually.
- All fire extinguishers are charged and inspected annually.
- All exit (egress) lights are illuminated and functioning.
Exits, Hallways, and Stairways
- Hallways and stairways are clear of clutter, furniture, vending machines, or stored items.
- Stairways and exit doors operate smoothly and allow rapid exit.
- Fire doors are kept closed, or are equipped with approved automatic closures.
- Fire doors latch properly when closed.
- Stairway and balcony handrails are secure, well maintained, and safe.
Electrical Safety
- Electrical switches, outlets, and fixtures are properly covered and in good condition.
- Extension cords (if used) are heavy‑duty and appropriately sized for the appliance. (Circuit‑breaker protected cords are recommended.)
- Electrical cords are not nailed/stapled down, knotted, or run under rugs.
- Electrical cords are routed to prevent damage and tripping (not pinched, crushed, or in doorways).
- Electrical appliances are grounded where required, and cords are in good condition (no frays, splits, or exposed wiring).
Heating Equipment and Mechanical Rooms
- Boilers/furnaces are maintained, and their rooms are free of combustible storage.
Flammable and Combustible Materials
- Gasoline and other flammable liquids over one pint are stored outside or in a locked steel cabinet.
- Combustible paints, solvents, and oily rags are stored in approved metal lockers/containers.
- If electric blankets are used, they have automatic shut‑off features for periods of non‑use.
Building Condition and Slip/Trip Hazards
- Ceilings, floors, and walls are intact with no missing or broken sections.
- Floors are clean and have non‑slip, safe flooring materials where needed.
Kitchen and Cooking Safety
- Kitchen ranges, grill ovens, grease overflow areas, hood ducts, fans, and filters are clean.
- The kitchen hood has an automatic extinguishing system (if applicable), and it is inspected and tagged annually.
- Access to the kitchen is restricted to authorized personnel only (when required by facility rules).
Grounds and Exterior
- The area around the house is clean and free of debris and combustible buildup.
- Windows are intact; screens are present where required; broken glass is repaired or safely covered.
Fireplaces and Chimneys
- Fireplaces and chimneys are maintained and inspected annually for safe operation.
Sleeping Areas (Bunk Beds, if applicable)
- Bunk beds are spaced to maintain clear egress: 22" between double bunks, 33" between triple bunks, and a 36" aisle to each exit.
Sanitation, Lighting, and Housekeeping
- Food and non‑food contact surfaces are kept clean
- Single‑service articles are stored, handled, and dispensed properly and are not reused.
- Restrooms have self‑closing doors (if required), are clean, and are supplied with hand soap, towels/hand dryer, tissue, and a covered waste receptacle.
- Garbage containers are covered, insect/rodent‑proof, clean, and emptied at appropriate intervals.
- Lighting is adequate, and fixtures are shielded where required.
- The premises are free of litter and unnecessary articles; cleaning/maintenance items are stored properly.
This policy is in place to ensure the safety of all properties owned or controlled by the University. Because fireworks and pyrotechnics pose significant fire and safety risks, their use is strictly regulated through a formal permission and review process. These procedures ensure that only qualified individuals handle dangerous materials and that proper loss prevention measures are active to protect students, staff, and visitors.

Procedures
General Prohibitions
- Do not attempt to sell fireworks on any University property, as this is strictly forbidden.
- Do not possess or use fireworks on University property unless approved.
- Ensure all fireworks use is limited to persons licensed under applicable state codes.
Requesting Pyrotechnics for Performances
- Contact Fire Safety and Loss Prevention at FireSafe@iu.edu at least 30 days before the performance.
- Include the specific venue for the performance in your request.
- Provide a detailed description of the pyrotechnics to be used.
- List the qualifications of the individuals who will be using the pyrotechnics.
- Describe the specific loss prevention and control procedures that will be in place during the event.
- Wait for a formal response from Fire Safety and Loss Prevention and the Core Advisory Group before proceeding.
Requesting Fireworks Displays
- Contact Fire Safety and Loss Prevention at FireSafe@iu.edu at least 30 days before the event.
- Present the credentials of the persons who will set off the display.
- Ensure the display complies with all provisions of the applicable state code.
- Meet the minimum insurance requirements specified in the University vendor insurance policy.
- Maintain a copy of your approved permission on-site during the event.
Compliance and Sanctions
- Individuals who violate state law could be subject to arrest and prosecution.
- Any employee or student in violation of this policy could be subject to established University disciplinary procedures
Fire safety involves the well-being of everyone living in the residence hall. Items like open flames, certain electronics, and cluttered exits can turn into a major emergency. This guidance can help prevent fire spread and ensure that both residents and emergency responders can move safely through the building.
Procedures
Prohibited Items
- Remove all open-flame devices, including candles (lit or unlit), incense, and hookah.
- Eliminate high-heat lamps and hazardous electronics, such as halogen (torchiere) lamps, lava lamps, and tanning beds.
- Store all flammable liquids—including paints, solvents, gasoline, and gas-powered engines—outside of the building.
- Keep hoverboards, mopeds, and motorcycles out of residential facilities.
- Use only UL-listed electrical appliances that feature thermostatic controls and are rated at 700 watts (6 amps) or less.
Electrical and Extension Cord Safety
- Connect high-wattage items like space heaters directly to a wall socket; never use an extension cord for them.
- Replace any plain extension cords used for permanent or semi-permanent setups (like computers or microwaves).
- Ensure all power strips have built-in circuit breakers.
- Avoid "daisy-chaining" by never plugging one power strip into another.
Safe Decorating & Maintenance - Clear all items hanging from the ceiling, sprinkler heads, or fire strobes.
- Remove any banners, posters, or decorations that block visibility or exit paths through windows and doorframes.
- Keep fire-rated doors closed and never prop them open.
- Ensure apartment doors are not covered with wrapping paper or other flammable materials.
Emergency Evacuation
- Familiarize yourself with the emergency evacuation signs and exit routes posted in your building.
- In an emergency, activate the nearest fire pull station, call 911, and exit immediately.
- Gather weather-appropriate clothing and your room key, then feel the door for heat before opening it.
- Use the stairs to exit; never use an elevator during a fire alarm.
- Meet at your designated assembly area and stay there until cleared by emergency personnel.
Procedures for Student Evacuation
- Call 9-1-1.
- Get dressed.
- Take room key.
- Feel door.
- Check for smoke.
- Alert others while exiting and walk to your predetermined "safe location."
- Do not use elevators. Take the stairs.
Hot work operations—such as welding, grinding, or soldering—create flames, sparks, and heat that can easily start a fire. These procedures are in place to prevent accidental fires, injuries, or property damage by ensuring all high-heat work is performed in a controlled environment with proper safety oversight.
State and federal laws related to hot work include Indiana Fire Code Chapter 35 and Occupational Safety and Health Administration Standards 29 CFR 1910.252.
Procedures
Permits and Preparation
- Obtain and complete a mandatory hot work permit before starting any operations, unless you are in a pre-approved "Designated Hot Work Area."
- Notify the Control Desk if your task requires a flame, sufficient heat, or sparks that could serve as an ignition source.
- Complete required online safety training (IU Expand) to understand proper welding, cutting, and brazing procedures.
- Prominently display your approved permit at the jobsite.
- Ensure all personnel, including fire watchers, are trained in the safe operation of the equipment.
Workplace safety setup
- Confirm the building's fire-safety systems (alarms and sprinklers) are fully operational and have not been impaired.
- Ensure the work area is non-combustible or fire-resistive.
- Remove all flammable materials, papers, notebooks, and chemicals within a 35-foot radius of the work.
- Check that your workplace is equipped with the correct fire extinguisher and that you know how to use it.
- Verify that mechanical ventilation is in place to control smoke and fumes.
Safe Operations
- Inspect all equipment, such as oxy-acetylene hoses, for defects like holes or cracks before use.
- Secure loose clothing, tie back long hair, and remove dangling jewelry before using a burner or torch.
- Use required personal protective equipment (PPE) at all times.
- Never leave an open burner or torch unattended.
- Notify all other personnel in the immediate shop or lab area before starting the burner/torch.
Fire Watch and closing down
- Assign a trained Fire Watcher to monitor the area for hazards during the work.
- Ensure the Fire Watcher remains on-site for at least 60 minutes after work is finished to check for smoldering fires.
- Shut off the gas supply and secure all cylinders with protective caps when the job is finished.
- Have the Fire Watcher sign the permit after the 60 minute observation period to confirm the area is fire-safe.
Prohibited actions
- Do not perform hot work in unauthorized areas or in the presence of explosive atmospheres (gases, vapors, or dust).
- Do not use propane gas in any occupied University building (except for handheld MAPP or Map-Pro cylinders).
- Do not use University fire extinguishers for contractor projects; contractors must provide their own equipment.
Fresh-cut Christmas trees can become significant fire hazards if they are placed in high-risk areas or not properly maintained. This policy ensures that trees remain hydrated and safely positioned to prevent rapid fire spread, ensuring that all students, staff, and visitors can safely enjoy the holiday season.
State and federal laws related to this guidance include Indiana Fire Code Chapter 8 and National Fire Protection Association standard 701, standard Methods of Fire Tests for Flame Propagation of Textiles and Films.
Procedures
Before you decorate
- Verify the location: Ensure your building or room type allows natural trees. They are generally prohibited in high-occupancy areas like libraries, dorms, or childcare facilities unless the area has an automatic sprinkler system.
- Schedule an inspection: Contact Fire Safety and Loss Prevention at FireSafe@iu.edu to request a mandatory fire safety inspection before display.
- Give advance notice: You must notify fire safety officials at least two days before placing a natural tree in any public building.
- Check artificial trees: If you are using an artificial tree, ensure it is certified by the manufacturer as flame-retardant (meeting NFPA 701 standards).
Tree preparation and placement
- Fresh cut trees: For natural trees, saw at least 0.5 inches off the bottom of the trunk immediately before putting it in the stand to ensure water absorption.
- Secure stand: Use a stable stand that will not tip and is large enough to hold at least a two-day supply of water.
- Clear exits: Ensure the tree does not block or narrow any exits, hallways, or emergency paths of travel.
- Heat safety: Keep the tree away from heat vents and open flames. The distance from any heat source must be at least equal to the total height of the tree.
Daily Maintenance and Lighting
- Water daily: Keep the water level at least 2 inches above the trunk bottom at all times.
- Perform the "shake test": Check the tree daily for dryness. If needles fall off easily or branches are brittle and break when bent, the tree must be removed from the building immediately.
- Safe lighting: Use only safety-listed (e.g., UL) electrical lights. Never use electrical lights on metal trees.
- No Open Flames: Candles and open flames are strictly prohibited on or near any decorative vegetation.
Failure to have a fire safety inspection or comply with these regulations could lead to the immediate removal of the tree.
Open flames and cooking appliances pose a significant risk of fire and injury, especially within residential buildings or near dry landscaping. These procedures are in place to ensure that any fire used on university land is strictly controlled, properly placed, and monitored to prevent accidental property damage or loss of life.
Procedure
General Restrictions
- Do not light or use any fire—including candles, incense, torches, or sky lanterns—inside university buildings or on university land unless the area is specifically established for that purpose.
- Use only approved devices for lighting pilot lights, such as cigarette lighters or matches.
- Ensure any work involving welding or cutting follows University Hot Work procedures.
- Limit the use of cooking appliances to usual commercially-made devices like kitchen ranges or approved grills.
Safe Grilling Practices
- Keep all grills at least 10 feet away from any building or structure.
- Operate grills only in open, outdoor areas; never use them inside buildings, tents, or on balconies.
- Position the grill so that smoke does not enter any nearby buildings.
- Ensure the grill is placed on a paved surface or at least 24 inches above combustible surfaces like grass.
- Provide protection to prevent grease from dripping onto tables or the ground.
- Use the grill only for the purpose of cooking food.
Fuel and Waste Management
- Store Liquid Propane (LP) gas cylinders outside; do not bring them inside any residential building.
- Dispose of charcoal residue only after it is completely cold to the touch.
- Use a noncombustible metal vessel (like a metal barrel) for ash disposal if multiple grills are being used.
Inspections and Assistance
- Confirm your grill is in good condition and ready for a potential inspection by your campus fire safety inspector/Authority Having Jurisdiction (AHJ).
Outdoor fires, such as bonfires and fire pits, present a high risk of spreading to nearby buildings or dry landscaping if not strictly controlled. This permit process ensures that every fire is properly placed, fueled by safe materials, and monitored by responsible individuals to prevent accidental injuries or property damage.

Procedures
Planning and permits
- Landowner permission: Obtain written or verbal approval from the department in charge of the grounds (e.g., RPS, Athletics).
- Submit permit: Complete the Fire Approval Request form at least 10 working days before the event.
- Check conditions: Confirm that there are no active "burn bans" or high-wind warnings for your campus on the day of the event.
Safe Setup
- 50-Foot Rule: Ensure the fire location is at least 50 feet away from any building or structure.
- Approved Wood Only: Ensure you have dry, untreated wood. Do not use wood with paint, stain, or pressure-treatments.
- No Dangerous Accelerants: Confirm that gasoline, diesel, or kerosene are NOT on-site. Charcoal lighter fluid is only allowed for the initial lighting.

Space heaters are a significant fire risk if used incorrectly. These procedures ensure that only the safest types of heaters are used and that they are positioned and powered in a way that prevents accidental fires, tripping hazards, or electrical overloads.

Procedures
Choosing an approved heater
- Ensure the heater is either a ceramic or oil-filled model (radiant heaters are prohibited).
- Verify the heater is electrically powered and has a UL (Underwriters Laboratories) or FM (Factory Mutual) safety label. This tag found on the electrical cord or die stamped on the heater itself.
- Confirm the heater is NOT powered by fuel like propane or kerosene.
- Check that the unit has a built-in thermostat to regulate heat (simple "on/off" or "high/low" switches are not allowed).
- Test that the heater has a "tip-over" feature that automatically shuts the unit off if it is knocked over.
Placement and Power
- Plug the heater directly into a wall socket; do not use extension cords or power strips.
- Place the heater only on the floor (never on tables, desks, or cabinets).
- Maintain at least 3 feet of clear space around the heater at all times.
- Keep all combustible materials (paper, plastic, cloth) away from the unit.
- Ensure the heater is not located in a bathroom or any moist area.
- Keep the electrical cord out of foot traffic paths to prevent tripping.
Daily Operation
- Ensure nothing is ever placed on top of the heater.
- Do not use the heater in areas where flammable liquids are stored or used.
- Unplug the heater (do not just turn it off) whenever the room is unoccupied or at the end of the workday.
If you are planning an event on any Indiana University property that includes the use of a stage and/or ancillary equipment such as lighting/speaker towers or rigging (outdoor service equipment), you must follow these procedures. If you represent an IU unit, contact the Office of Procurement Services at least 30 days (45 days is recommended) before the event with a description of the stage and rigging; contact with the Office of Procurement Services should be made before any contracts are signed. Procurement Services will provide details to Fire Safety and Loss Prevention and an approval team.
Exceptions: Locations with permanent stages that have processes in place. Contact Fire Safety and Loss Prevention at FireSafe@iu.edu if you believe you qualify for this exception or have other questions regarding stages.
IU Auditorium
- If you have an IU connection but do not represent an IU unit (this includes independent student organizations, fraternities and sororities), you must notify Fire Safety and Loss Prevention at least 30 days (45 days is recommended) before the event with a description of the stage and rigging (outdoor service equipment) and the identification and address of the vendor providing the stage.
- Failure to meet this timeline may mean your event cannot use the stage and/or rigging.
- Non-IU-affiliated groups wishing to hold an event on campus that requires a temporary stage and/or rigging may provide their own stage and rigging but they must have a contractual agreement with IU that holds IU harmless and indemnifies IU for liability, including any claims arising from the stage and stage equipment; provides for a certificate of insurance evidencing coverage of at least $1 million for each one hundred people expected to attend, subject to a maximum of $5 million; (usual and customary vendors should provide updated certificates as needed) complies with all other provisions found at Vendors provisions; and provides for compliance of all provisions of the Stage and Rigging procedures.
Instructions for permitted use of stages
Unless this is an excepted location:
- For an outdoor stage:
- Any "rigging," (outdoor service equipment) if attached to the stage, must be described in the engineering documents (See ‘Original design plans’ below) describing the stage with stated values for load bearing, anchoring and wind resistance.
- Any "rigging," (outdoor service equipment) not attached to the stage, must be described in the engineering documents describing the stage with stated values for load bearing, anchoring and wind resistance, or
- A "safety zone" must be maintained between the farthest projecting point (towards the public) of the stage and/or rigging and the public (a line beyond which a standing crowd cannot pass or the leading edge of seating).
- For an indoor stage:
- Any temporary rigging must be described in an engineering document describing the rigging with stated values for load bearing and anchoring, or.
A "safety zone" must be maintained between the farthest projecting point (towards the public) of the stage and/or rigging and the public (a line beyond which a standing crowd cannot pass or the leading edge of seating). - The safety zone must be 1’ for each 1’ of rigging height as measured from the ground plus 8’ measured from the rigging closest to the public. E.g., stage: 24" above the ground + rigging 19’ above stage level + 8’ zone = 29’ safety zone.
- Any temporary rigging must be described in an engineering document describing the rigging with stated values for load bearing and anchoring, or.
- No one can work in or on the rigging except for setup and teardown unless such work is allowed by the engineering report.
The default is to include rails with the stage. The fall risk, even from a stage only 12" high, is significant. - Original design plans, stamped "approved" by an Indiana admitted engineer, is required for portable stages, except stageswith a maximum size of 1,000 square feet (@8600 lbs. in weight); can be any kind of construction and can be on wheels;
- Not more than 12 people can be on the stage andthe 12 people (and any portion of the light, sound load that may be sitting on the stage) can average no more 300 pounds per person, i.e., 3600 pounds of weight on the stage. This does NOT include any outdoor stage equipment.
- Documentation on the load bearing capacity of the stage must be provided and the total load cannot exceed the pounds per square foot that the stage can hold;
- the surface of the stage or platform is not more than 4 feet off the ground at the highest point.
- For all temporary outdoor stages, a site plan diagram, drawn to approximate scale and indicating all measurements and dimensions, must be submitted identifyingthe general locale (e.g., Dunn Meadow, Assembly Hall)
- the dimensions and directionality of the stage
- placement of stage equipment
- any crowd control measures (e.g., fences, sawhorses)
- audience placement, including seating arrangements and aisles, if applicable (include dimensions)
- the “safety zone” between the audience and the stage
- if outside, the placement of sanitary and other waste facilities.
- A security plan must be submitted to the Indiana University Police Department, contact the IUPD for more information.
- An emergency action plan must be submitted to Emergency Management and Continuity.
- Approval for use of a temporary stage is subject to approval by Fire Safety and Loss Prevention, IUPD, Emergency Management and Continuity, and Capital Planning and Facilities. The planner will be notified of tentative approval as soon as possible.
- All orders to rent temporary stages that will be paid by a University account, other than a Student Organization account, must flow through the Office of Procurement Services and are subject to the time limit stated below.
- Planners must submit all required information no later than 12 work days before the event. Failure to make a timely submission means a stage cannot be used.
- The event site is subject to additional inspections up to and during the event.
