Purpose
To describe the procedures the Indiana University Police Department (IUPD) will follow when obtaining and recording information for each request for service or self-initiated activity.
General Order
The IUPD utilizes a Computer Aided Dispatch (CAD) software system to record all calls for service and self-initiated activity. Public safety dispatchers and officers will ensure each entry into the CAD system is accurate and as complete as possible.
Recording Information
Calls for service can be generated a number of different ways, including but not limited to: telephone calls, walk-ins to the department, written requests for service, alarms, and calls initiated or received by officers. Public safety dispatchers will elicit as much pertinent information as possible from the reporting person(s) in an effort to enhance officer safety when responding to the scene. Public safety dispatchers will document all information received in the CAD entry and relay the information to the responding unit(s).
As the information is obtained, it will be entered into the CAD system. The CAD system automatically assigns a unique event number to all entries (11.1.3 a) and captures the date and time the call for service was entered (11.1.3 b). When the call is received, the public safety dispatcher will enter the following information at minimum into the CAD event:
- Location of incident reported (11.1.3 e);
- Type of incident reported (11.1.3 d);
- Name, phone number, and address (if possible) of the complainant (11.1.3 c);
- Identification of personnel assigned as primary and back up units (11.1.3 f); and
- Time of dispatch (11.1.3 g).
The assigned unit(s) will notify the public safety dispatcher via radio when they arrive on the scene and when they return to service. The public safety dispatcher will update the CAD entry to document the time of arrival (11.1.3 h) and the time of returning to service (11.1.3 i). The assigned unit(s) may update the CAD entry with this information, but will still notify the public safety dispatcher via radio.
The primary assigned unit will notify the public safety dispatcher of the disposition for the reported incident. The public safety dispatcher will record the disposition in the CAD entry (11.1.3 j).
