Purpose
To describe the property records system utilized by the Indiana University Police Department (IUPD) to maintain records for all found, recovered, and evidentiary property.
General Order
The IUPD recognizes the importance of maintaining accurate records of all found, recovered and evidentiary property. The IUPD utilizes an electronic Records Management System (RMS) to track the status of all found, recovered, and evidentiary property that is within the control of the agency.
Property Records System
A records management system is fundamental to the integrity and accountability of property management. The IUPD utilizes the RMS to maintain records which reflect the status of all evidence and property held by the IUPD. All records will be current, and entries will be thorough and timely.
The information contained within the property records will include at minimum:
- Associated case number and property number,
- Date and time of receipt and release,
- Description of the item,
- Location of item,
- Chain of custody from the time the property was stored until its destruction or other final disposition
Other information within the property record may include the following, if known or applicable:
- Owner
- Serial number or owner applied number
- Quantity or value
- Make and/or model
- Model number
