Purpose
To describe the Indiana University Police Department’s (IUPD) incident and case numbering system.
General Order
The IUPD’s electronic Records Management System is configured to assign a unique number to each incident or case report as appropriate.
Definitions
Incident – a record created in the IUPD’s computer aided dispatch.
Case Report – a record created in IUPD’s case management.
Incident numbering
Each incident will be assigned a unique number using the following format: last two digits of the current year, dash, two digits of the current month, dash, two digits of the current day, dash, a six-digit sequential number that starts at 000001 and is reset at 0000 hours every January 1st.
Example: 23-01-01-000001
Case report numbering
Each case report will be assigned a unique number using the following format: last two digits of the current year, a four-digit sequential number that starts at 0001 and is reset at 0000 hours every January 1st.
Example: 230001
Deconfliction of certain historical records
Historical records which have a duplicate number of a Bloomington Division record will have the two-letter campus code of the campus affiliated with the record appended to the beginning of the record number.
Example: IN19-01-01-000001or IN19000
