Purpose
To describe the procedures the Indiana University Police Department (IUPD) will follow when processing public records requests.
General Order
The IUPD is committed to providing access to public records in accordance with Indiana Code 5-14-3, the Indiana Access to Public Records Act. The Indiana University’s Office of the Vice President and General Counsel (OVPGC) is responsible for accepting, reviewing, and responding to requests for public records. The IUPD will cooperate and consult with the OVPGC when they receive a request for IUPD’s records.
Procedures
Requests for police reports or any other IUPD record will be directed to the OVPGC’s electronic request form for processing.
Upon notification from the OVPGC that a request has been made, the IUPD’s administrative support staff will search for and, if found, retrieve the report/record, and forward it to the OVPGC, who will review the report/record and, in consultation with IUPD, determine what information is disclosable and non-disclosable under applicable federal and state laws.
If there are no reports responsive to the request, the IUPD’s administrative support staff will inform the OVPGC indicating such. The IUPD is not required to generate records which do not exist for the purposes of responding to any public records request, nor is IUPD required to compile any information in response to a public records request.
All requests for vehicle crash reports will be referred to LexisNexis® BuyCrash® website.
All requests for the Clery Act required daily crime log or fire log will be processed in accordance G16.3.3 Daily Crime Log and G16.3.4 Fire Log.
