Chapter: Chapter 16 – Records and Information Management
Sub-Chapter: 16.3 - Annual Campus Security Report
Effective Date: 02/07/2023
Revised Date: 02/07/2023
Rescinds: None
Purpose
To provide the Indiana University Police Department (IUPD) with guidance on creating and maintaining the fire log for campuses that operate on-campus student housing facilities.
General Order
In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), the IUPD will maintain a written, easily understood fire log that records any fire that occurs within or on an on-campus student housing facility.
Definition
Fire – Any instance of open flame or other burning in a place not intended to contain the burning or in an uncontrolled manner.
Official – Any person who has the authority and the duty to take action or respond to particular issues on behalf of the institution.
Creating and Maintaining the Fire Log
In accordance with IU policy UA-16 Clery Act Compliance, members of the campus community who have knowledge of a fire that occurs within or on any on-campus student housing facility are required to report the incident to the IUPD. The officer receiving information that a fire occurred will complete a case report in the IUPD’s Records Management System.
For campuses that operate on-campus student housing facilities, the IUPD combines the fire log with the daily crime log. As such, the fire log is maintained and made available in conjunction with the daily crime log. Each entry in the fire log will contain the following information:
- Date the fire was initially reported to a campus official (16.3.4 a);
- Nature, date, and time of the fire (16.3.4 b); and
- General location of the fire. (16.3.4 c)
